Volunteering at Hawkwood School

Many of the special learning activities that we provide for our students would not be possible without volunteers.  Whether it is in class, on a field trip, or helping our great School Council / Society, volunteers at Hawkwood School support us in countless ways.


All CBE volunteers that help at the school or work with students are required to have a valid security clearance.


For the 2024-25 school year, the CBE has a solution to have the full cost of the online​ application covered by a voucher.


Step 1: Prospective volunteers must first register as a volun​teer at with school where you plan on volunteering. This should ​be done through MyCBE by clicking on the Online Forms and School Registration tab and completing the Volunteer Registration 2024-25 form. You can also submit an application through the school office.

School administrators will verify your identity and register you in the CBE volunteer database. The school office will email you with a letter enabling you to obtain a police information check from the Calgary Police Service (CPS).

Please note, prospective volunteers must reside in Canada for a full year before registering. Police clearances from countries other than Canada are not accepted.


Step 2: Visit the CPS online system, electronic Police Information Check (ePIC), to obtain your police check using your CBE volunteer letter.

Volunteers should wait to submit their request until they receive an email from Calgary Police Service – Record Check inviting them to apply for their Police Information Check with VS for Volunteer. This will ensure the voucher is ready to be redeemed by the volunteer.

Voucher costs are covered for online applications only. If a volunteer applies to Calgary Police Service in-person with the e-Pic letter given them from their school, the $21.25 application fee will apply. ​

If a volunteer submits their own payment, there is no option for a refund. There is no refund option for volunteers who have previously submitted applications. ​​

If you are unable to complete the process online, you may visit a police information check location instead.

Step 3: Once you receive​​ your clearance document from CPS you will need to share it with the school. This can be done through School Engage, in-person or by email.


Annual Volunteer Registration

Each school year you must complete the CBE volunteer registration form. By completing the form, you agree to abide by the conditions that protect the safety, confidentiality and working environment of our schools. You also make a signed declaration with regard to criminal charges.

At Hawkwood you must also complete the Hawkwood School Council/Society Volunteering form. This can be accessed through the link below or the QR code below.

Reminders From the Office

With over 700 students coming and going each day, our school is a very busy place. No place is this more apparent than someday in the office. Here are a few things that our families can do that will make things run a bit smoother for our students and our staff.


Reporting Attendance

If your child is away for any reason, please be sure to call and let us know at 403-777-6410.  If you send your child’s teacher an email, be sure to include the school email as well hawkwood@cbe.ab.ca.


Plastic Spoons & Forks

Our office no longer keeps plastic spoons or forks in stock. Please remember to include this in your child’s lunch if they are needed.


Parking Lot

Please avoid the school parking lot throughout the day. We have a staff of 60 and 36 parking spots. There is never a time during the day where it is ok to be in the parking lot. This also includes the driveway as we need to keep it clear for special needs buses, daycare vans, deliveries, maintenance vehicles and first responders.


Before & After School Supervision

Our doors open each day for flex entry at 8:55, including days where the weather might be wet or cold. Morning supervision starts at 8:53. It is important to know that there is no supervision for any students who are on school grounds before this time. This is the same at the end of the day. Following the departure of our buses at 3:55, our last supervisor finishes their final sweep by 4:00. Students remaining on school grounds after 4:00 will not be supervised.


Picture Day - Next Week - Sep. 18th

Your child received one of these Lifetouch Flyers from their teacher. Picture Day this year is on Wednesday, September 18th. All students have their individual pictures taken. Parents have the option of ordering different types of photo packages on line at mylifetouch.ca. Class pictures will be scheduled and taken on a different day later in the school year.

Meet the Teacher - Thursday, September 19th


Be sure to come by Hawkwood School on Thursday, Sep. 19th. Each homeroom teacher will be hosting two information sessions, one at 6:30 and another at 7:00. Teacher will review daily routines, communications strategies, expectations as well as some aspects of your child’s curriculum for this coming school year. While this is not a time to discuss your child’s individual progress thus far, there will be time for some general questions. See you Thursday!
